Schedule Details/Additional Information:
Part-time, 0.5 FTE, 8-hour shifts. Every other weekend and two holidays a year.
Performs the review of complex clinical records to secure data for inclusion in the Illinois Vital Statistics Registry (IVRS) required by the organization and the State of Illinois.
Interviews new parents for the accurate completion of the Birth Certificate Worksheet. Provide accurate and timely transmission of birth data into the Vital Records System to generate the Legal Birth record.
Ensures the integrity, accuracy, and timely entry of Newborn names, by following prescribed naming conventions into the Hospital integrated computer system for patient care and facility reimbursement.
Ensures the accurate completion of state-required Voluntary Acknowledgement of Paternity (VPA) forms following state guidelines.
Assists patients, and other customers as appropriate in person or via telephone promptly and courteously to resolve birth certificate related issues. Receives and processes birth certificate corrections in accordance with state regulations and any applicable legal regulations. Partners with the Department of Vital Statistics to acquire missing data for Vital Record System edits.
Collaborates with physicians and other departments to collect and abstract data from the electronic medical record for submission to the Department of Health for medical services and research.
Operates department equipment and reports any equipment malfunction to the appropriate personnel. Receives and processes continuing care requests in accordance with AAH release of information policies and procedures and any applicable legal regulations. Performs other duties as assigned
Education/Experience Required:
Level of Education: High School Graduate or GED Years of Experience: 1 year experience Health Information Management or Birth Registry
Knowledge, Skills & Abilities Required:
• Proficient computer and keyboarding skills with the ability to learn new computer software systems such as Epic, OnBase, Microsoft Office and legacy archives. • High attention to detail and accuracy with frequent interruptions. • Ability to prioritize workload and work under pressure in a fast-paced environment with time constraints. • Ability to work independently and make decisions with minimal supervision while maintaining quality and productivity standards. • Strong critical thinking skills. • Strong customer service, interpersonal and communication skills with ability to communicate to customers that are multilingual. • Works collaboratively in a diverse team environment with openness and respect to learn, create and problem solve. • Ability to learn when receiving constructive feedback by leadership or peers and taking personal ownership for success. • Ability to safeguard protected health information (PHI) and possesses basic knowledge of HIPAA

Physical Requirements and Working Conditions:
Must be able to sit, stand, walk, squat, twist/rotate, bend and reach for prolonged periods of time in order to complete required distribution of materials and other related functions. Operates all equipment necessary to perform the job. Exposed to a normal office environment. Ability to travel internally to nursing units
