Schedule Details/Additional Information:

  • Monday through Friday generally 8 to 4:30. Occasional early or late meeting. Flexible schedule.
  • Hybrid model with ability to work remote with perhaps 1 or 2 days a month on site.

Provides support in the day to day coordination of the medical staff functions, which includes preparing for meetings, coordinating the credentialing and privileging process, participating in quality assessment and improvement activities which may include peer review and performance data.  Provides support to leadership and information to the Credentials Committee, Medical Executive Committee and the Governing Board regarding credentialing/privileging and medical staff corrective actions.  Coordinates compliance with accrediting and regulatory agencies and interacts with surveyors to demonstrate compliance. Coordinates the periodic review and revision of medical staff bylaws, policies and rules. Provides orientation and ongoing support for the leadership of the Medical Staff organization.  Facilities effective communication between the medical staff and administration.  Provide insight and share best practices that can be used across teams with the Line of Business or Department or escalate issues that may impact other teams or lines of business.

Major Responsibilities:

  • Coordinates and facilitates medical staff and advanced practice clinician credentialing and privileging at the time of initial appointment and reappointment. Ensures privilege request forms are up-to-date and reflective of the scope of practice. Maintains the accuracy of the credentialing data base and utilizes the data base to track and manage information.

  • Serves as a liaison between the medical staff, administration, ancillary departments and patients in matters pertaining to the Medical Staff. Handles highly sensitive and confidential information on a regular basis. Communicates diplomatically to maintain confidentiality. Documents and refers complaints and/or concerns about medical staff members to the proper individuals for evaluation and resolution of complaints or concerns.

  • Coordinates orientation of newly elected or appointed Medical Staff leaders and provides ongoing support to Medical Staff leaders to ensure compliance with the Bylaws, Policies and regulatory requirements. Coordinates and manages the onboarding and orientation of newly appointed practitioners to the Medical Staff and Advanced Practice Clinicians, including development and implementation of the orientation materials and schedules. Ensures accurate entry of privileges, arranges authorization process to allow practitioners electronic medical record access, makes all appropriate entries into the credentialing software to activate the practitioner and ensure practitioner inclusion in rosters, directories, and reports.

  • Ensures practices and procedures are in accordance with accrediting and regulatory agencies as related to the Medical Staff, including (but not limited to) Joint Commission, DNV, HFAP, CMS, OSHA, and State and Federal Law and other standards and regulations, and hospital and system-wide policies. Responsible for the accreditation survey and survey preparation related to the Medical Staff Chapter. Provides ongoing support to leaders to ensure compliance with Bylaws, policies and regulatory requirements.

  • Responsible for creating monthly reports for the Governing Board on credentialing and privileging recommendations of the Medical Executive Committee, as well as on proposed Medical Staff Bylaws, Policy and Rule revisions. Collaborates with the quality management department to develop and ensures Department Chiefs and Section Chairs receive and have access to performance data for the practitioners in their Department or Section at the time of reappointment.

  • Provides coaching, training and/or mentoring to other Medical Staff Coordinators upon request. Provides guidance and quality assurance to department assistants.

    Licenses & Certifications

    • Credentialing Specialist, Certified Provider (CPCS) issued by the National Association Medical Staff Services (NAMSS) is preferred, Advocate Health will support testing after 3 years of experience.

    Required Functional Experience

    • Typically requires 5 years of experience in a Medical Staff Coordinator position at an accredited hospital.

    Knowledge, Skills & Abilities

    • Strong knowledge of medical terminology.

    • Experience recording minutes of meetings preferred.

    • Excellent communication, organizational and problem-solving skills.

    • Advanced Proficiency in Microsoft Office and credentialing software.

    • Knowledge of accrediting and regulatory agencies as related to the Medical Staff, including (but not limited to) Joint Commission, DNV, HFAP, CMS, OSHA, and State and Federal Law and other standards and regulations, and hospital and system-wide policies regarding licensed independent practitioners in the hospital setting required.

    • Must have proven track record of effective interactions with physicians and other health care professionals.

    • Ability to work effectively and independently and manage multiple priorities. Previous experience with Medical Staff bylaws, rules, and regulations required. Ability to communicate with leadership regarding development within area of responsibilities and perform special projects as needed.

    • Ability to represent the department effectively with supporting teams. Demonstrate problem solving, critical thinking, and process analysis skills to support teams.

    • Possess willingness to learn and develop understanding of configuration best practices.

    • Willingness to escalate issues that may impact team productivity or confusion on priorities.
