Major Responsibilities:

  • PATIENT SATISFACTION. Creates and maintains an environment that is patient centered as evidenced by availability of same-day appointments, future appointments made, referrals made within the group, adherence to test result reporting guidelines, positive patient comments, meeting Key Result Area (KRA) goals. • Provides direction in analysis of patient satisfaction data. Reviews, shares, discuss and monitor satisfaction scores and comments at least monthly. • Oversees the development and implementation of patient satisfaction improvement plans based on feedback from various sources. • Monitors improvement initiatives and holds self, management team and associates accountable to performance and compliance to patient service standards. • Communicates patient satisfaction goals and objectives to all, maintains as a standard agenda item, reports and posts results. • Achieves patient satisfaction scores consistent with Advocate Medical Group (AMG) KRA goals.
    •     7)Participates in rounding and attends focus groups according to yearly schedule.

  • FUNDING OUR FUTURE. Ensures financial success of practice sites • Responsible for managing all revenue relationships including, but not limited to, physician productivity, outside contractual relationships, charitable funds, timely credentialing of new physicians and mid-level clinicians. • Knowledgeable regarding specifics of all payment plans with which the practice participates, including Medicare, HMOs, PPOs and Public Aid. Evaluates and implements approved managed care contract requirements. Ensures systems are in place to effectively handle all reporting and documentation relative to reimbursement. Provides oversight to ensure that practice sites achieve revenue cycle goals of co pay collections, collection of prior balances, self pay amounts, etc. • Ensures systems are implemented for complete, timely and accurate charge encounter capture. Provides oversight to ensure adherence to standards for resolving TES edits and missing charges. • Plans and administers an annual budget, both operational and capital. Monitors budgetary expenditures, reports and corrects variances monthly. Ensures identification of capital needs and preparation of supporting documentation. Works with Supply Chain and the Finance Department to ensure purchases, including capital, are correctly processed through the Advocate system. • Contributes to forecasting for upcoming and long-term budgets in conjunction with Finance. • Demonstrates working knowledge of financial reporting tools and resources. • Communicates and achieves financial performance targets consistent with AMG KRA goals.

  • GROWTH. Facilitates strategic planning and the development of new ideas and approaches that enhance performance. • Aids in new clinic design and timely start-up. • Assists in coordination, management of medical practice management contracts, letters of agreement, joint venture services and other arrangements. • Manages and/or coordinates new physician group transitions to AMG and other Advocate facilities. • Develops new and expanding program proposals with cost/budget implications in conjunction with the Vice President. • Assesses marketing materials. Makes recommendations and establishes plans for activities to increase referrals/new patients. • Collaborates with service area colleagues and Business Development colleagues in recruitment and acquisition to attract and grow physician complement.
    •     1)Monitors measurable clinical outcomes to meet KRA targets.
    •     2)Ensures that all established policies and procedures concerning the environment of care, including but not limited to Hazard Communication Program, Blood-borne Pathogen Program, Equipment Management, and Utilities Management are strictly adhered to. Responsible for training/planning necessary at the unit level for all emergent situations and the environment of care programs.
    •     3)Ensures compliance with all regulatory agency standards, i.e., federal, state, city, Accrediting Organization, OSHA, IDPH and all Medical Group policies and procedures.
    •     4)Supports and maintains compliance with Culture of Safety initiatives, including incident reporting and annual safety training.
  • PHYSICIAN ENGAGEMENT/OPERATIONS. Creates an operationally efficient, and physician friendly work environment. Provides direction to manage resources to meet productivity standards and to optimize efficiency, effectiveness, and output of each department. • Develops and formalizes infrastructure to assure both economically efficient processes, maximum patient and physician satisfaction and safety. • Builds relationships with other departments/business units to assure operational effectiveness. • Effectively utilizes available reports to make practice improvements. Sets goals for productivity which are consistent with organizational goals. Works to improve patient access and convenience. • Develops, implements, and complies with policies and procedures to assure effective and efficient operations consistent with Medical Group/Advocate Health Care philosophy, policies, and procedures. • Analyzes physician services and patient needs and addresses and corrects any concerns or issues. Develops and implements actions to maximize physician productivity. • Meets with physicians on a regular basis to review productivity reports, compensation settlements, staff issues, operational effienciencies, etc. • Communicates routinely to physicians using a variety of methods. Rounds weekly. • Provides oversight for the integrity of patient health information and all medical records.

  • HUMAN RESOURCES ADMINISTRATION/ASSOCIATE ENGAGEMENT. Directs human resource functions to ensure continued quality, development and retention of associates. • Creates an environment where associates are motivated to do their best work, are routinely recognized for good work, and achieves associate satisfaction scores consistent with AMG goals. • Fosters an environment that encourages innovative thinking, problem solving, robust dialogue, and collaboration between all members of the team and promotes a high quality work environment. • Conducts regular meetings for physicians and associates and any appropriate subgroups for feedback and communication, and documents with minutes. Holds self and management accountable for communication. • Evaluates and conducts performance reviews for staff on time. Provides direction for the development of learning plans • Mentors and coaches managers on employee relation issues such as recruitment, employment, termination and training. • Coordinates recruitment activities. Facilitates and promotes retention strategies. Promotes hiring practices in which only the most qualified are selected. • Assists individuals with identifying professional goals and provides educational opportunities to achieve those goals. • Facilitates adequate orientation program for staff utilizing skills checklist. • Monitors and facilitates the resolution of performance and/or other employee relations issues. • Analyzes staffing patterns, mixes and needs to assure both quality of service and cost effective deployment of personnel.

Education/Experience Required:

  • Bachelor’s Degree in healthcare/related field or equivalent. Master’s preferred 5-7 years progressive management expience or 5-7 years experience in ambulatory setting.

Knowledge, Skills & Abilities Required:

  • Excellent communication Thorough understanding of components of practice management, including billing/collection/insurance, performance standards, physician concerns, quality assurance, personnel selection and budgetary planning, control & assessment. Ability to supervise professional & non-professional associates & promote staff development through delegation. Ability to work well with a wide variety of professionals at all levels of the health care system. .
