Schedule Details/Additional Information:
Webster ASC is a brand-new multi-specialty surgical center located in the picturesque neighborhood of Lincoln Park. It consists of two operating rooms and two procedures rooms with room for future expansion. Hours: 0700-1530, Mon – Fri, no weekends, no holidays

Major Responsibilities:
Accuracy of scheduling of procedures in Operating Room
1)Scheduling of surgeries based on scheduling guidelines (block times, equipment, c-arm, staffing, vendor notification) which includes scheduled procedures and add-ons

2)Plans and implements surgery time and location into surgical schedule.

3)Utilizes computer data base to predict case length and turn over time with high degree of accuracy.

4)Adjusts surgical times by moving schedule up and tightening availability of room times.

5)Pre-determines the appropriate availability of anesthesia, OR staff, supplies, equipment and instrumentation.

6)Informs charge nurse and materials management of any special equipment, supplies, implant needs at the time of scheduling.

7)Obtains pertinent information, through appropriate channels necessary for appropriate scheduling/case preparation.

8)Surgical confirmations to be completed timely and accurately

9)Changes to surgery schedule to be done accurately, timely with communication to applicable departments and vendors which includes cancellations.

10)Management of surgical reservations during office hours

Maintenance of Operating Room Desk
1)Orders unit/scheduling office supplies as appropriate.

2)Charges for supplies/equipment as appropriate.

3)Cancels patient supply/equipment via Casecheck

4)Document control of departmental forms

5)Generating surgical schedule for charge nurse, OR staff and distribution to applicable departments

6)Accuracy of OR staff call sheet

7)Accuracy of OR staff, physician, departmental, and vendor contact information

8)Retrieval, verification, and logging of surgical specimens

9).Maintenance of temperature log for blanket warmers and refrigerator

Verifies, maintains accuracy and completeness of operative records.
1)Checks records for completeness as appropriate, and accuracy, contacting the circulating nurse or anesthesiologist immediately when discrepancies are noted. (informed consent, history and physical, lab results)

2)Order entry of diagnostic labs, radiology, cardiology, hematology (blood bank)

3)Generates data for surgeons and offices when requested.

4)Verification of privileges of surgeons for new procedures, at the time of scheduling.

Communicates effectively with all customers.
1)Consults with the charge nurse when concerns arise to resolve questions regarding the schedule.

2)Manages scheduling calls and accurately records and reports messages.

3)Demonstrates a competent, courteous and professional manner with co-workers, physicians, visitors, patients, vendors and other.

4)Maintains confidentiality in execution of all duties.

5)Demonstrates telephone etiquette within 3 rings

6)Acts as a resource person to staff, physicians, visitors and others as needed.

7)Facilitates inter and intradepartmental communication flow of OR schedule.

8)Provides timely information regarding patient status to other departments

9)Communicates with charge nurse and anesthesia regarding efficient utilization of OR rooms.

Education/Experience Required:
-High School Diploma or GED equivalent. -2 – 3 years previous healthcare experience preferred -Knowledge of Medical terminology preferred.

Knowledge, Skills & Abilities Required:
-Knowledge of keyboard. -Good communication skills. -Good organization skills. -Meets Advocate behavioral expectations.

Physical Requirements and Working Conditions:
-Ability to rotate shifts to provide coverage. -Ability to work under stressful conditions and in difficult situations. -Exposure to various contagious diseases, radiation, chemicals, caustic materials, electrical equipment and hazards associate with their use. -Prolonged sitting required.
If position has direct patient care or direct patient contact the following lifting requirement supersedes any previous lifting requirement effective 06/01/2015. Ability to lift up to 35 pounds without assistance. For patient lifts of over 35 pounds, or when patient is unable to assist with the lift, patient handling equipment is expected to be used, with at least one other associate, when available. Unique patient lifting/movement situations will be assessed on a case-by-case basis.
