  • 8 – 4:30. some possible flexibility
  • 100% remote. preference for candidates living in Chicagoland or very familiar with the area.

  • Due to complex requirements, remote work is NOT permitted for short or long periods in: CA, CO, CT, HI, MA, MD, MN, NJ, NY, OR, RI, VT, WA and working Internationally (this includes working while on vacation).

Provides support to clinician services and recruitment functions and processes including but not limited to hiring, interviewing, onboarding and integration. Coordinates the preparation, processing, and completion of required documents such as employment paperwork, credentialing and privileging forms, contracts or other documents.

Major Responsibilities:

  • Supports one of more of the following areas within the clinician services and recruitment functions: recruitment, onboarding, integration, credentialing, privileging, and/or contracting.

  • Provides support to functions within the clinician recruitment, integration and employment process, such as reference checking, interview evaluations, post-hire surveys, exit interviews, due diligence, scheduling appointments, coordinating travel and itinerary preparation.

  • Obtains and verifies information on clinicians such as medical school, residency, fellowship, training, licensure, registration, certification, professional insurance coverage, and/or privileges.

  • Provides support to facilitate a smooth and timely start and onboarding process for incoming Physicians and Advanced Practice Clinicians (APC). May schedule and make travel arrangements for site visits, interviews, house hunting visits, medical review and drug screen appointments or other arrangements as needed.

  • Assists with the preparation, completion and processing of required paperwork/processes. May provide support for the following: employment agreements, bonus or loan payment documents, legal documents, service agreements, immigration documents, and/or credentialing and privileging paperwork and documentation as directed and in accordance with regulations and organizational requirements, procedures and policies.

  • Acts as a liaison to incoming and existing clinicians in the completion of required paperwork and documentation. Monitors outstanding issues and ensures appropriate interventions when needed.

  • Develops and maintains clinician services and recruitment materials to ensure appropriate and necessary information is available, communicated and distributed.

  • Participates in planning and coordinating recruitment events; including ensuring necessary supplies and materials and booking and monitoring travel arrangements.

  • Processes and tracks expenses associated with site visits, house hunting visits and relocation.

  • Tracks and maintains accurate and confidential department records, files and documentation. Opens, reads and prioritizes mail and department documents handling some requests independently.

  • High School Graduate

Experience

Required:

  • Typically requires 2 years of experience in human resources or administrative support that includes experiences in healthcare and coordinating processes across multiple teams.

Preferred:

  • Experience supporting multiple individuals

  • Experience booking car, hotel, and lodging

  • Experience with processing expenses

  • Proficiency in MS Office, particularly Excel

  • Familiarity with Chicagoland

  • Experience providing high level of customer service

Knowledge, Skills & Abilities Required:

  • Knowledge of recruitment processes and retention practices.

  • Skills in evaluating, addressing, and providing resolutions to general issues and challenges. Skills in problem solving for effective resolution.

  • Knowledge of geographic area served to provide guidance to physicians and their families on the community and surrounding areas.

  • Good interpersonal, verbal and written communication skills and experience to effectively interact and build working relationships with physicians and leadership at all levels.

  • Ability to act as a resource and provide guidance to others. Ability to establish exceptional individual relationships.

  • Intermediate computer skills to include word processing and spreadsheet applications.

Physical Requirements and Working Conditions:

  • Generally exposed to a normal office environment.

  • Must be able to sit, stand, walk and bend/stoop frequently throughout the workday.

  • Must be able to occasionally lift up to 20 lbs.

  • Must have functional speech and hearing. Position requires extensive telephone work.

  • Position may require local and regional travel and therefore may be exposed to road and weather hazards.

  • Operates all equipment necessary to perform the job.
