Schedule Details/Additional Information:
Monday – Friday 1400-1800. This position will require possible shift change, early start, late finish, weekend and holiday rotation, based on department needs.
- Coordinates and processes the scheduling and dispatching of medical interpreter services by receiving calls, pages, email, fax, hotline and online requests for present day and future appointments.
- Continuously monitors, updates and coordinates the scheduling and rescheduling of services. Follows up with requests to ensure completion, as needed.
- Understands medical processes, length of medical procedures and time to travel to ensure timeliness and accuracy of scheduling. Communicates schedule changes and rescheduling needs to Medical Interpreters and appropriate departments.
- Communicates with supervisor regarding complex scheduling issues.
- Completes required forms and documentation, and maintains files, binders, call logs, electronic records and other documents as required.
- Assures compliance with all accrediting agency standards and Aurora policies regarding language access services, HIPPA and safety.
Licensure, Registration, and/or Certification Required:
- None Required.
Education Required:
- High School Graduate.
Experience Required:
- Typically requires 1 year of experience in providing customer service, performing clerical work or scheduling within a healthcare environment.
Knowledge, Skills & Abilities Required:
- Knowledge of healthcare environment including knowledge of duration of medical processes and procedures.
- Excellent customer service skills exhibiting confidence. Demonstrates ability to effectively act as a resource to other staff, to resolve difficult situations in a professional and service oriented manner and to work under pressure while interacting in a helpful and courteous manner.
- Excellent communication (written and verbal), telephone etiquette and interpersonal skills; ability to effectively communicate with a variety of patients and caregivers.
- Intermediate computer skills including experience in using personal computers; including Microsoft Office or similar applications, and electronic mail.
- Ability to read and understand verbal and written materials/instructions, visual acuity and to sort and file information alphabetically and numerically.
- Must have the ability to react to stressful situations in a calm, professional and efficient manner.
- Ability to work in a fast paced environment with a strong attention to detail and accuracy.
- Ability to prioritize and work independently with excellent organizational and time management skills. Must be able to concentrate on minute details and multi-task.
Physical Requirements and Working Conditions:
- Exposed to normal medical office environment, may be exposed to potentially ill patients.
- Must be able to sit for extended periods of time.
- Must have functional speech, vision, touch and hearing.
- Operates all equipment necessary to perform the job.
