Position: Security ID Badge Coordinator
Location: Christ Medical Center; Oak Lawn, IL.
Full Time; 1st Shift; Mon-Fri
Major Responsibilities:
- Primary administrator of the Security ID Badge Program and the Badge Management System (BMS) that provides Card Key Access/Proxy card access based on their position and authorization from requestors supervisor.
- Primary contact person for BMS Administration. Responsible for Security ID badge production and card key/proxy card access levels.
- Updates user information for new or terminated/inactive associates, volunteers, physicians, residents, contractors, students and facility.
- Responsible for securing the BMS and printer and ensuring that the BMS is password protected and printer is locked when not being used.
- Provides assistance with troubleshooting, problem resolution and new user set up with requesting departments.
- Ensures quality of photo and badge is professional and accurately describes the Advocate recognized job title and associate name. The ID badge is used to identify the person and job title and is a public safety tool and requirement for all associates, volunteers, physicians, residents, contractors, students and facility to display their ID badge for public safety. The ID badge is not used to recognize degrees or certifications.
- The Badge Management System (BMS) is used for tracking and managing the ID badges and card key/proxy access. The accuracy and management of this information is critical for public safety.
- Responsible for disabling the access for all terminated associates, inactive volunteers, students,, facility, physicians, residents, contractors, etc.
- Conduct monthly audits to confirm all terminated associates ID and card key/proxy access have been disabled. Coordinate with HR to receive monthly termination reports and notification of terminated associates as they become aware of terminations for cause.
- Work with departments such as the Volunteer Office, Medical Education, Medical Credentialing and Clinical Education to ensure processes are in place to be notified of ID/card key/proxy access that needs to be disabled.
- Responsible for updating the daily/weekly tally sheet to capture the number of ID and card key access requests for new hires, associates, students/faculty, physician/residents, contractors, volunteers, other and ‘access only’ requests
- Maintain the recordkeeping of badge maintenance forms and receipts for lost ID's.
- Responsible for ordering supplies needed to create security ID badges and physician proxy cards.
- Ensure sufficient supply of badges and proxy cards are available.
- Responsible to verify the accuracy of bills and/or invoices received for supplies and working with vendor to resolve any discrepancies
- Responsible for contacting the ID badge and card key vendor to coordinate maintenance, repair, system adjustments for the card key/proxy card access and system identification changes for all equipment and software.
- Initiate and follow up with vendor regarding equipment issues and status of repairs.
- Initiate any card key access changes in collaboration with Public Safety and BMS vendor. Ensure card key access is coded correctly in the BMS to ensure appropriate access is given to requestors.
- Communicate any downtime to staff due to equipment being broken via email and by creating and posting notices. Communicate when equipment is functioning in the same manner.
