This is a hybrid role. Will need to have the flexibility to work on-site as needed. Primary work hours will be Mon-Fri 8-1pm with flexibility needed to support scheduled events outside of that timeframe, including evenings and occasional Saturdays as needed. On-site would include locations across Lake County, Kane County & McHenry County in IL; Kenosha & Racine County in WI.
Plans, promotes, and executes continuing medical education (CME) events to support organizational strategies and tactics. Works closely with physician-led education planning committees and with the continuing medical education department to ensure education is effectively implemented and is in accordance with ACCME standards and criteria. This role will specifically allow the oncology service line to educate providers on new advances in the field of oncology so they are providing the best care and education which focuses on improving the patient experience (clinical quality, patient/service quality).
Major Responsibilities:
- Collaborates with medical group leadership and the Professional Education & Development Manager to identify, prioritize, develop, and improve continuing medical education (CME) opportunities to support organizational objectives.
- Manages live and online event logistics which includes securing speakers and exhibitors, leading rehearsals, and working with facilities, equipment, audio visual (live and virtual), registration, and staffing. Delegates appropriate tasks to other staff members, supervises event set up and event closing.
- Ensures all programs are planned and implemented within the guidelines of CME accreditation as well as within the policies of Advocate Aurora Health and the Advocate Aurora Health CME Department. Completes application and documentation required to obtain CME accreditation for programs.
- Analyzes programs for effectiveness, conducting post-event reporting and return on investment analysis. Develops and implements tracking mechanisms for evaluating communications and education against specific pre-set goals.
- Develops budgets for events and operates within those budgets. Evaluates and negotiates contracts with vendors, agents, and corporate sponsors to ensure favorable outcomes and allotted budgets are followed. Manages all related contracts, agreements, payments, distributions, and reporting.
- Creates and implements plans to promote events, which includes developing collateral materials, advertising, invitations, and signage to achieve maximum attendance and return on investments. Collaborates with communications staff to achieve maximum exposure.
Licensure, Registration, and/or Certification Required:
- None Required.
Education Required:
- Bachelor's Degree (or equivalent knowledge) in Marketing or related field.
Experience Required:
- Typically requires 3 years of experience in marketing or community relations that includes experiences in planning, coordinating, promoting, and evaluating special events.
Knowledge, Skills & Abilities Required:
- Demonstrated project management, decision making, delegation, prioritization, team building, time management, customer service, and conflict resolution skills.
- Excellent verbal and written communication skills. Ability to communicate and collaborate effectively with all levels of staff, physicians, management, executives, and a wide variety of internal and external vendors, collaborators, and stakeholders.
- Intermediate computer skills including demonstrated proficiency in the use of Microsoft Office (Excel, Access, PowerPoint and Word) or similar products, and web based e-learning systems.
- Knowledge of online meeting platforms such as Microsoft Teams, Zoom, and/or GoToWebinar.
- Demonstrated ability to plan and execute large- and small-scale events in live and online formats.
- Ability to work weekend and evening hours to support and coordinate event activities.
Physical Requirements and Working Conditions:
- This position requires some travel so there will be exposure to weather and road conditions.
- Operates all equipment necessary to perform the job.
