Licensure, Registration, and/or Certification Required:
- Cancer Registry – Certified Tumor Registrar (CTR) or Oncology Data Specialist – Certified (ODS-C)
Education Required:
Bachelor's Degree in Health Information Management or related field.
Major Responsibilities:
- Provides expertise on advanced and complex registries. Serves as a data repository and reporting systems expert. Serves as an expert resource to team(s) in analyzing and interpreting registry data based on clinical expertise and current evidence-based literature identifying patterns, trends, opportunities for improvement and highlighting best practices found. Utilizes current evidence to guide the team in developing recommendations and strategies to address identified opportunities and improve patient outcomes.
- Assures completion and validation of accurate and timely submission of data at appropriate intervals to the various advanced and complex disease/procedure specific specialty databases and other registries as required for compliance with membership and professional standards. Identifies and maintains effective case-finding techniques to assure all eligible and appropriate patients are included in the registry databases.
- Utilizes certification and expert clinical knowledge to interpret complex clinical documentation content to accurately conduct concurrent and/or retrospective abstraction of medical records in order to facilitate the analysis, monitoring and reporting of quality data. Identifies system opportunities for data integrity and improved performance.
- Identifies data trends requiring further investigation. Participates in performance improvement activities by identifying appropriate data sources for studies, performing data base queries, and transferring pertinent data sets to authorized individuals for statistical analysis.
- Establishes and maintains effective working relationships with physicians and care management staff working together to compile registry data into meaningful reports/displays and promotes the use and visibility of the information collected.
- Works remotely and independently between hospital facilities, external accrediting agencies, physicians, state department of health and human services, data vendors and technical support.
- Provides high-level support and participates in high-level meetings with internal market groups, clinicians, service-line department leaders, researchers, and accrediting bodies to benchmark and evaluate compliance with evidence-based quality metrics. Provides and presents reports to accurately portray organizational key quality metrics and to evaluate performance.
- Conducts training sessions to assure that individuals with access to databases can perform data abstraction, entry and/or reporting functions accurately with respect to data definitions, security, and confidentiality requirements. Acts as an on-going mentor to new team members to answer questions and provide feedback regarding work duties.
- Collaborates with and assists physicians, surgeons, clinical specialty program coordinators, service-line/department managers, business, research and quality teams and coordinators for any patient follow-up, study and or projects to improve patient care and outcomes. May act as point of contact for IRB research activities and Quality data requests.

- Identifies and maintains effective case-finding techniques to assure all eligible and appropriate patients are included in the registry databases.
- Utilizes various data quality monitoring techniques to reconcile and validate information according to registry and internal data quality standards and data dictionaries.
- Uses excellent communication and presentation skills to report, interpret results of the data including any statistically benchmarked comparisons. Performs, and assures interoperability and reliability testing is completed.
- Maintains current knowledge of data system software, executes updates, enhancements, and corrections, as appropriate, to support efforts in cost and quality data reporting to all required external agencies and for ongoing maintenance of the system software.
Experience Required:
Typically requires 5 years of experience in assigned registry.
Knowledge, Skills & Abilities Required:
- Knowledge of state, federal and external agency requirement regulations, standards and benchmarks and the ability to research and interpret their content.
- Knowledgeable and proficient in the use of software, data quality and database management.
- Understanding of research, quality, and basic statistical methods.
- Completes mandated ethical and research training.
- Demonstrates analytic skills and problem-solving ability to adequately analyze and display complex clinical data.
- Proficient in the use of Microsoft office or similar products to produce, display and maintain statistical data.
- Ability to work independently with a high degree of accuracy and attention to detail.
- Excellent written and verbal communication skills.
- Ability to travel between Advocate Aurora sites as required with exposure to road and weather conditions.
- Ability to spend extended periods of time (50% of the workday) in sedentary work.
- Exposed to a clinical-environment (including operating room and diagnostic or interventional lab) and a normal office environment.
- May be exposed to radiation and human blood and body fluids on an infrequent basis and must therefore wear protective apparel as needed.
- Operates all equipment necessary to perform the job.
