Location / Address: 4440 W 95th St, Oak LawnPart-Time: 24 hours a weekSchedule: Hybrid (minimum 1 office day weekly)Weekend and Holiday Commitment: No weekends, Closed Holiday but need to commit to rotating holiday schedule with other Registrars (for the days before or after certain holidays due to heavy workflow)Hours of Operation for Location: 8:00 am – 4:30pmSpecialty (if any): Must carry RHIT/RHIA (Registered Health Information Technician/ Registered Health Information Associate) certificate

Major Responsibilities:

  • Conducts daily follow-up of trauma registry patients

1) Maintains follow-up information concerning trauma patients admitted to AIMMC according to IMMC Department of Trauma Policy, and American College of Surgeons required levels.

2) Assists in collecting IDPH mandated data fields.

3) Abstract patient data from Emergency Department and hospital charts onto trauma registry data sheets for adult trauma patients

4) Update, daily, the trauma registry data sheets for in-hospital adult trauma patients based on information derived from trauma rounds

5) Enter patient data into the trauma registry on the trauma service personal computer

6) Generate quarterly reports for the Chicago Department of Health Trauma System and the Illinois Department of Public Health Trauma System

7) Maintain data in the trauma registry computer system including appropriate back-up and archiving of data

8) Ensures Trauma Registry compliance with hospital policies and IDPH guidelines

9) Obtains and reviews confidential medical information from Medical Records

10) Determines which demographic, diagnostic and referral information must be abstracted for Trauma Registry Data Base, according to requirements of IDPH

  • Provides staff support for interdisciplinary trauma conferences

1) Prepares and distributes meeting notices and minutes.

2) Prepares sign-in sheets and ensures all attendees sign in.

3) Provides staff support at meeting. (IDTR,TEEMS, NPF)

4) After meeting, updates database with trauma patient conditions and complications.

  • Provide accurate and timely Trauma Performance Improvement information

1) Assists in the management of the Trauma Committee’s Performance Improvement Plan

2) Assists with the preparation of Trauma Services annual statistical report by running reports and preparing tables/graphs of annual incidence statistics, trends, demographics, etc. Activities also include word-processing, editing and layout

3) Participates in Trauma Committee Performance Improvement studies, including patient care studies, clinical indicators and volume statistics

4) Responsible for generating standing Performance Improvement reports using designated audit filters and reporting them at the monthly Trauma Performance Improvement Committee Meeting

5) Responsible for generating specific, customized reports from trauma registry data to support P.I. initiatives and ongoing trauma research

6) Request autopsy reports on all trauma patients who have died in the hospital

  • Other duties

1) Maintains confidentiality of patient information in compliance with HIPAA law and hospital policy.

2) Assists with Trauma Committee meetings as requested by trauma registrar.

3) Maintains trauma registry office supplies, ordering supplies as necessary.

4) Assists trauma data analyst with projects and studies.

5) Other duties as assigned by trauma data analyst or trauma coordinator.
