Schedule Details/Additional Information:
M – F 7:00 – 3:30
To perform diversified technical and administrative tasks using independent judgment and action. Build and update work order system database using the chosen CMMS software. To support facility management team in all aspects of administrative support. Support the safety manager with PE and safety inspections. Accountabilities for specific systems and equipment may vary according to staffing and site assignment.
MAJOR RESPONSIBILITIES
- Utilizing the computerized maintenance management system, building automation system, various reports, and vendor data; compile, analyze and summarize data to support changes to the physical environment.
- Provide support to safety officer during safety rounding, construction assessments and physical environment meetings.
- Utilizing the CMMS, ATG and Building Automation System data; develop specialized management reports that support departmental KRAs.
- Coordinate with internal and external customers to accomplish activities such as printing and/or graphic services, software, systems maintenance, and repairs along with ordering departmental supplies. Coordinate events/meetings, secure space, prepare memos and/or notifies participants, arranges for equipment, room set-up, food requirements, etc. Initiate follow-up for calls, correspondence, etc. received by the supervisor.
- Maintains associate training records, responsible for collecting, organizing, and updating regulatory documentation for the facilities department. Maintains active list of vendor provided services and contact information for normal, after-hour and emergency contact.
- Responds to patient complaints, resolves problems, or directs associate/patient to appropriate Advocate resource.
- Assist Safety Officer with safety inspections and physical environment issues. Attend PE Committee meetings and provide administrative support producing meeting minutes in a timely manner. Assist safety manager with the development of reports and regulatory paperwork.
- Participation in various modes of job training and/or supplemental classes to enhance existing abilities and acquire new skills.
- Assists supervisor with presentations and classes for new employee and outside contractors as needed. Provides training to staff, concerning computer operations and development of presentations. Assists supervisor with data analysis and provides recommendations, concerning unusual trends and training needs. Assists facility and department with accomplishment of CQI and OI goals.
License/Registration/Certification: None
Education: Advanced Training Beyond HS; High School education and completion of formal computer training programs in word processing, spreadsheet, and data base management.
Experience: 5 years of Administrative Support including experience in computer operations.
KNOWLEDGE, SKILLS AND ABILITIES (KSA)
- Basic skills to provide technical/supervisory support.
- Experienced at performing computer operations using spreadsheet, database, and word processing.
PHYSICAL REQUIREMENTS AND WORKING CONDITIONS
- Ability to lift the lightweight requirements according to DOL definitions.
- Ability to work under stressful conditions and in difficult situations.
- May be exposed to hazardous materials and toxic substances.
- Ability to work flexible hours.
- Ability to use telephone and radio.
- Ability to type.
- This requirement supersedes any previous lifting requirement effective 12/17/2014.
- Ability to lift up to 35 pounds without assistance. For lifts over 35 pounds, lifting equipment is expected to be used or lift with at least one other associate when available. Unique lifting/movement situations will be assessed on a case-by-case basis. May be required to lift greater than 35 pounds from floor to waist.
