Schedule Details/Additional Information:
M-F 8AM-5PM
- Completes program audit and gap analysis to determine readiness for major program and grant development activities. Develops and implements plans to enhance the infrastructure for project readiness. Responsible for initiation, planning, execution, monitoring, and closure of projects, including setting metrics, timelines and schedules and identifying resources for project completion.
- Oversees and defines roles and rules of engagement, negotiates financial relationships and helps define project implementation responsibilities between all parties involved in project development opportunities.
- Oversees the preparation of grant proposals, budgets and grant applications for identified specific funding sources. Monitors and guides the creation of proposal materials including narratives, letters of support, budget and required documentation.
- Monitors post-award grant management and ensures compliance with federal guidelines. Maintains current knowledge of applicable local, state and federal codes and regulations and ensures compliance of grants. Oversees research staff to meet grant regulatory requirements. Performs continuous monitoring and quality assurance of post-award grant management across departments. Provides appropriate budget reporting for the management of grant-funded studies.
- Serves as a central point of contact for research grant audits and helps other departments with auditors for program and education grants. Meets and provides requested information to internal and external auditors. Consolidates audit findings and presents to department leaders. Works with department leaders to create action plans for audit findings. Manages all research grants (pre- and post-award activities) submitted by the Advocate Aurora Sponsored Programs Office to federal, non-federal and foundation granting agencies. Presents quarterly updates on grants to the Council for Quality Assurance and Improvement in Research.
- Responsible for initial and ongoing training of team members managing grants across AAH. Provides training seminars and one-on-one sessions for grant specialists across different departments. Serves as central source of knowledge for Uniform Guidance and other federal regulations on award management.
- Partners with department leaders, grant managers and grant specialists across the system to standardize grant management across system. Works with IT and department leaders to create systems for effort certification and grant management.
- Creates and tracks system-wide policies for grant management (e.g., effort certification, cost transfer, cost sharing, allowable/unallowable costs, etc.). Revises policies as needed in conjunction with department leaders and compliance. Assists Director in preparation of Advocate Aurora Sponsored Programs Office policies and guidelines for grant management, federal guidelines and financial conflicts of interest.
- Performs human resources responsibilities for staff which include interviewing and selection of new employees, promotions, staff development, performance evaluations, compensation changes, resolution of employee concerns, corrective actions, terminations, and overall employee morale.
- Develops and recommends operating and capital budgets and controls expenditures within approved budget objectives.
- Responsible for understanding and adhering to the organization’s Code of Ethical Conduct and for ensuring that personal actions, and the actions of employees supervised, comply with the policies, regulations and laws applicable to the organization’s business.
Licensure, Registration, and/or Certification Required:
- None Required.
Education Required:
- Bachelor’s Degree in Business or related field.
Experience Required:
- Typically requires 5 years of experience in working within research, academia or health care institutions. Includes 1 year of supervisory experience in pre award and post award grant management.
Knowledge, Skills & Abilities Required:
- Knowledge of the management of grant processes, with significant experience in grant and proposal writing and budget preparation.
- Demonstrated experience in obtaining funding for complex clinical research and knowledge of grant funding resources.
- Knowledge of local, state and federal audit A-133 guidelines.
- Experience in grant writing, negotiation of budgets and working with granting agencies (federal, non-federal, foundation).
- Excellent written and verbal communication skills. Ability to communicate effectively with all levels of employees, critical to collaborate with staff/management/executives and other organizations.
- Strong interpersonal skills, ability to function as a team leader and partner in multidisciplinary teams. Ability to work closely with physicians and senior leadership.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Access) or similar products.
